Q: Who is the intended audience for this program? A: Corporate accounts with need to rent vehicles for periods from 2 months up to 11 months.
Q: How does a company enroll for multi-month rentals? A: The company must first have an existing corporate account with Dollar. The company must then fill out the Multi-Month Rental Program Addendum form.
Q: How much lead-time is required to set up this additional program to a corporate account? A: The signed addendum must be submitted a minimum of 5 business days prior to the first multi-month reservation.
Q: What payment options exist for multi-month rentals? A: Existing AB customers may use the AB billing program and will be billed monthly. Payment may also be made by credit card and the credit card will be charged every 28 days. Payment must be determined before the time of reservation.
Q: What if an existing account normally using credit cards also wants to establish authorized billing for their multi-month rentals? A: The same credit application and qualification processes will apply and will require up to 10 additional business days for approval and set-up.
Q: What size corporate account may sign up for multi-month rentals? A: Any corporate account with a signed letter of agreement on file may sign up for this program. Since the small business (D4B1 and SBIZ) accounts do not sign an agreement, Sales Support will provide them with a corporate small business agreement with Multi Month addendum attached which must be signed and returned to Sales Support. The only exceptions are Dollar Flex accounts which may not participate at this time.
Q: What should I do with a Dollar Flex account that needs monthly rentals? A: They will need to sign a Thrifty corporate account or switch their Dollar account to the Dollar Corp Rate plan.
Q: Do we pay travel agency commissions on multi-month rentals? A: No.
Reservations
Q: How are multi-month reservations made? A: Reservations for multi-month rentals can be made via GDS, our dot coms and by calling the Reservation Department Specialty Desk (Tahlequah). Special 800#s have been set up for each brand (Thrifty is 800-327-7607 and Dollar is 877-259-3824).
Q: Can a current rental be converted over to a multi-month rental? A: No, Multi-month rentals cannot begin in mid stream. They must start with a new reservation. If a renter is already in a car, the car must either be returned and a new rental started with a new reservation or finish out the existing rental and switch to Multi-month on the next rental.
Q: Will the existing corporate account CD# be used? A: Yes.
Q: What is the rate for multi-month rentals? A: The multi-month program monthly rate is 3.7 times the corporate account's weekly rate (approximately a 2% discount). Extra days are 3.57 times the multi-month monthly rate.
Q: When does the multi-month rate begin? A: All corporate accounts enrolled in the multi-month program will receive multi-month rates for all reservations over 28 days in length. All reservations 28 days and less will receive the standard corporate daily, weekly and monthly rate.
Q: Can existing corporate accounts not enrolled in the multi-month program receive multi-month rates? A: No. They can only make reservations up to 28 days and will be charged their corporate account standard daily, weekly and monthly rate.
Q: Must the corporate rate be used to reserve a multi-month rental? A: Yes. If a corporate account chooses to book a retail rate, they will have to abide by retail rules which require the vehicle be returned every 28 days and no corporate account benefits will apply.
Rental Experience
Q: What are the renter’s responsibilities for multi-month rentals? A: Renters must sign an additional form, the Multi-Month RA Addendum form, at the time of rental. By signing this form, the renter agrees to:
- provide accurate mileage from the vehicle’s odometer to the Specialty Desk every 28 days
- have preventive maintenance (oil changes) done on the vehicle every 4,000 miles
- pay a mileage charge of $.25/mile for any mileage over 4,200 per 28 days
Q: How do locations obtain the required Multi-month RA Addendum forms? A: These forms are available at DTG Supply. They are prominently displayed as the first item on the home page for each brand's respective supply site. Each location must order their own supply of forms.
Q: What happens if the renter fails to have preventive maintenance done? A: A $500 penalty will be charged, as clearly stated on the RA addendum form.
Q: How does the renter get preventive maintenance done? A: By bringing the vehicle back to a Dollar location or having the oil change done commercially at a rate not to be reimbursed above $50 (receipt is required).
Q: What happens if a renter becomes unemployed by the corporate account during the term of the multi-month rental? A: The company is financially responsible for the entire rental period reserved (or until the vehicle is returned to the renting location). The company must notify DTAG immediately should an employee in a multi-month rental be terminated. The company is responsible for ensuring the vehicle's return.
Q: How does the renter receive a receipt for the multi-month rental each month? A: Renter will receive a copy of each month’s closed RA and a new monthly RA via email (Genifax) sent by the Specialty Desk.
Q: Can a multi-month rental be returned earlier than the reserved time period? A: Yes, at any time. The rate charged will revert to standard corporate account rates for that CD#.
Q: Can a multi-month rental be extended? A: Rentals cannot be extended but a new reservation can be made for additional rental time. The renter will need to bring back the vehicle to begin the new reservation and sign a new multi-month RA addendum.
Q: What is the absolute limit for monthly rentals? A: Multi-month rentals can for no reason exceed eleven (11) months in length.
Q: Does the multi-month vehicle need to be returned to the original renting location? A: Yes.
Q: Where can multi-month rentals take place? A: Currently this program is available in the continental U.S. only.
Q: Is the rental process the same at both corporate and licensee locations? A: The process will be very similar since the same initial reservation process and same RA addendum form will be used by both. However, there are some differences outlined below:
- Corporate locations will have the signature for the RA addendum included in the signature capture machine documents and licensee locations will capture signatures on the hard copy addendum form.
- Corporate locations will have RA's closed out by the Specialty Desk every 28 days. Licensee locations will close out their own RA's. Licensees will then submit their own AB documents to Licensee A/R department each month.

EXPRESS Rewards and Frequent Flyer Miles
Q: Will Dollar EXPRESS Renter Rewards credits be issued? A: Yes, as long as the renter has selected Dollar EXPRESS Renter Rewards as his/her preferred loyalty program.
Q: Can Dollar EXPRESS Renter Rewards credits be redeemed for multi-month rentals? A: No.
Q: Will frequent flyer miles be awarded? A: Yes, as long as the renter accepts the applicable frequent flyer daily mileage charges at the time of rental and provides his/her account number.
